Privacy Policy – La Câlinerie

Effective date: 14/11/2025

At La Câlinerie, I’m committed to protecting your privacy. This policy explains what personal data I collect, why I collect it, how it’s used and stored, and your rights under UK GDPR.

1. Who I am (Data Controller)

Data controller: Victoria Hautbout
Email: hello@lacalinerie.co.uk · Tel: +44 7759 881706
Services: online consultations worldwide; nights/live-in support across the UK & Europe (EN/FR).

2. The data I collect

I only collect information needed to deliver safe, effective support and to run the business.

  • Contact details: name, email, phone, address, time zone.

  • Family & child details: baby’s name/date of birth (and adjusted age if relevant), feeding and sleep history, routines, household context, relevant health information you choose to share.

  • Booking & admin: enquiry notes, availability, signed agreements, invoices.

  • Communications: emails, WhatsApp/voice notes, call summaries.

  • Payments: processed securely by third-party providers; I do not store card details.

  • Website data (basic): standard logs (e.g., IP and browser info) and any form submissions. (See Cookie Notice if applicable.)

Some information about your baby’s health may be considered special category data. I will only process such data with your explicit consent, or where necessary (e.g., vital interests/safeguarding).

3. Why I use your data (lawful bases)

  • To provide services and manage your booking (UK GDPR: contract).

  • To tailor support, plans and follow-up (contract; consent for any special category data).

  • To communicate during/after support (contract; legitimate interests for reasonable aftercare and record-keeping).

  • To take payment and handle accounts/tax (legal obligation).

  • To keep children safe and escalate concerns if needed (vital interests / legal obligation).

  • To run and protect the business (IT/security, troubleshooting) (legitimate interests).

4. How I store and protect your data

  • Digital records are held on password-protected devices and reputable platforms (e.g., Google Workspace, WhatsApp, booking/payment tools).

  • Access is limited to me (and any processor strictly as necessary).

  • Retention: intake forms, plans and essential notes are kept for 7 years (professional guidance/insurance). Routine messages are kept only as long as needed for your support. After retention, data is securely deleted.

5. Sharing your data

I do not sell your data. I may share it only with:

  • Service providers acting as processors (e.g., email, video, cloud storage, payment). They must keep it secure and follow my instructions.

  • Healthcare or safeguarding bodies if there is a safety concern or where the law requires it.

  • Professional supervision/learning: occasionally anonymised case reflections; no identifying details without your consent.

6. International transfers

Some providers may store data outside the UK/EEA. Where this happens, I use services with appropriate safeguards (e.g., UK adequacy decisions or Standard Contractual Clauses) to protect your information.

7. Your rights

You have the right to:

  • Access your data and receive a copy

  • Rectify inaccurate or incomplete data

  • Erase your data (where legally possible)

  • Restrict or object to certain processing

  • Data portability (for information you provided)

  • Withdraw consent at any time, where processing relies on consent

To exercise your rights, contact: hello@lacalinerie.co.uk.

If you’re unhappy with my response, you can complain to the Information Commissioner’s Office (ICO): ico.org.uk · Tel: 0303 123 1113.

8. Children’s data

I process children’s data with the parent/carer’s authority and only as needed to deliver support that is safe and appropriate.

9. Recording & materials

Recording of sessions is not permitted. Any written plans or resources I provide are for your personal use only and must not be shared or reproduced.

10. Communications & messaging

Where follow-up is included, I respond to WhatsApp/email Mon–Fri within 24 hours. These platforms are third-party services (e.g., WhatsApp is end-to-end encrypted), so please avoid sending anything you’re not comfortable sharing digitally.

11. Changes to this policy

I may update this policy from time to time. The version shown here applies from the effective date above.
